Terms & Conditions

By booking and taking part in a Sophie Harwood Photography Session you agree to the following photoshoot Terms and Conditions.

The photographer will endeavour to deliver digital negative files (DNG image) as quickly as possible. However, this could take up to 2-4 weeks during busy periods.

Sophie Harwood Photography reserves the right in all cases to use any pictures for the purposes of social media and website portfolio. For advertising or publication usage Sophie Harwood Photography will always gain written permission from the client.
Sophie Harwood Photography retains copyright for all images taken on any photoshoot, except for pre-agreed commercial shoots. Images are sold on a personal use license; this includes those digitally.

Gift vouchers are non-refundable. They are valid for 12 months from purchase. It is the client’s responsibility to book a date within that 12 month period, taking into account the possibility of rescheduling due to weather.
Rescheduling or lack of an available date is not grounds for a refund. In the unlikely event that I, The Photographer must reschedule, I will email further dates (even if outside of the 12-month valid period) to ensure the photoshoot is completed.
The voucher can only be used once and cannot be exchanged for cash.

All photography sessions must be paid for in full prior to the agreed session date.
Methods of Payment: Payment can be made by cash or BACS.
Gift vouchers must be paid for at the time of purchase.

The prices listed are in (GBP) Pound Sterling and include taxes. All prices are correct at time of publishing.

Photoshoots are non-refundable. In the unlikely event of a complaint being made, a full review of the photoshoot will take place.
Gift Vouchers: Are non-refundable and are valid for 12 months from purchase. The voucher can only be used once and cannot be exchanged for cash. Only the original voucher is accepted. Vouchers cannot be used in conjunction with any other vouchers or offers.

Once agreed upon a final session date, you may reschedule your session once up to 48 hours prior to your shoot if required. Any further rescheduled photoshoots that are not made by the photographer will be charged £20 per reschedule.
If inclement weather or other adverse conditions prevent the photoshoot from taking place, another date will be arranged.
If you turn up to your photoshoot and there is slight rain but the photographer is happy to proceed and you are not, then you will not be entitled to a refund or a free of charge reschedule.
If a mini shoot has had to be rescheduled and then falls out of season for flowering or an event, another alternative shoot will be offered in replacement or your money can be carried over to the next set of mini shoots.
Sickness: I understand that children can be unpredictable and fall ill at any time. In the event of sickness prior to the session, the Client agrees to make every possible effort to notify Sophie Harwood Photography no later than 4 hours prior to the start time of the photography session. The session can be transferred to a new date which will be at the convenience of both parties within a maximum 2-month period.

After 12 months from your session date Sophie Harwood Photography will no longer be responsible for storing your image files.

The travel cost within a radius of 20 miles from St Ives, Cambridgeshire is included in all price packages. Additional distances (more than 20 miles from St Ives, Cambridgeshire) will incur a surcharge.

Client expressly releases the photographer from all claims, damages, and liabilities that may result from accidents or incidents that occur during the photo session. This waiver of liability includes waiver of any claim that may be a result of negligence.

Although the photographer shall exercise all reasonable skill, care and diligence in the discharge of her duties, it is understood that, in the event of any unforeseen circumstances causing loss of photographic record, the photographer will only be responsible for the return of all the money paid to date, although every effort will be made to re-take the photographs.

The Photographer reserves the right to amend these Terms and Conditions without prior notice.
